Position Description
Position Title: Special Assistant
Location: Alexandria, VA, Samueli Institute
Supervises : None
Supervisor: Deputy Director, SIIB
Position Summary: Under Minimal supervision, this position is responsible for providing the day to day administrative support to the Deputy Director.
Duties and Major Responsibilities:
· Assist the Deputy Director with research and other special projects
· Development of PowerPoint presentations
· Formatting and editing of documents, and papers in preparation for publication
· Conduct background research, including reviews of the literature
· Provide operational support, including filing, maintenance of calendars in coordination with other staff, support for team meetings, correspondence or report preparation and completion of special projects.
· Prepare written communications including but not limited to flow charts, reports, correspondence, forms, policies, and procedures.
· Create itineraries, make travel arrangements, and complete reimbursement forms for Deputy Director.
· Other duties as assigned
MINIMUM JOB REQUIREMENTS:
Master’s level degree preferred, however will also accept Bachelor’s degree and training comparable to that required in an advanced degree program.
This position requires a minimum of three years of progressively responsible experience in executive level administrative positions in business, professional or medical organizations; outstanding organizational skills, ability to handle multiple tasks; strong interpersonal, verbal and written communication skills and superior computer skills including MS Office.
Essential Skills, Knowledge AND Experience Desired:
· Proven organizational skills with experience in multiple ongoing tasks.
· Excellent computer and typing skills and knowledge of multiple programs using MS Office Suite, including: Word, Excel, PowerPoint (Access database helpful) for word processing, project development and data warehousing.
· Strong communication (both oral and written) and interpersonal skills that enable the individual to work effectively both independently and in a team environment.
· Experience demonstrating sound professional judgment and discretion.
· Excellent Analytical skills, ability to synthesize information
· Attention to detail
· Good knowledge of general office procedures.
· Knowledge of medical and scientific terminology preferred as well as an interest in complementary and alternative medicine and international healing practices.
